A shipping label, a parcel receipt and a tracking update answer different questions. The label identifies the intended shipment. The receipt records acceptance. Tracking shows the events reported by the carrier and marketplace. Keep them linked to the same order.

This checklist is our suggested operating process. Carrier instructions cited below concern Mondial Relay in France; verify the instructions for your actual market, order and selected service.

01 · ORDER DEADLINE

Plan from the actual order, not a generic countdown.

Mondial Relay’s Vinted guide directs sellers to retrieve the label or available QR code from the sale, check the dispatch deadline and deposit the parcel in time. Use that order-specific information when planning your work. Read the carrier’s Vinted guide (French).

  1. Record the order ID, selected carrier, label reference and displayed send-by date.
  2. Check the package size and contents against the selected service.
  3. Confirm the receiving point, opening times, supported label format and collection arrangements.
  4. Schedule handover with a practical buffer and retain the acceptance evidence provided.
Acceptance and tracking visibility are separate checks.

Do not treat label creation as evidence of deposit, or assume a receipt guarantees an immediate update in every connected system. Record what you can verify and investigate any mismatch.

If the deadline is approaching

Check the order for available next steps and contact support through that order if needed. Keep the buyer informed of the actual status. Do not promise an extension, successful shipment or payment outcome that has not been confirmed.

02 · PACKING

Choose protection for the item and the carrier.

Check the current packaging, weight and size requirements before preparing the parcel. Mondial Relay provides separate packing instructions and links to its acceptance conditions. Check its packaging guidance (French).

Match the packaging

Choose a sound outer package suited to the item’s weight, shape and fragility. Replace damaged packaging and remove obsolete labels.

Check movement

Protect vulnerable parts and prevent items from moving against each other. Check the packed weight and dimensions before closing.

Verify the label

Match the label to the order and item. Keep the barcode readable; confirm whether the chosen point supports your QR-code workflow.

Keep a packing record

For your internal file, record the item, accessories, protective materials and sealed parcel. Keep customer details within your authorised team.

For electronics, valuables or other restricted contents, confirm acceptance for that service before handing over. A suitable box does not itself establish eligibility or compensation coverage.

03 · EXCEPTIONS

Record the issue before choosing the next action.

No acceptance evidence

Check the parcel reference and the receiving point’s record. For its documented deposit process, Mondial Relay describes a confirmation email after acceptance. Retain that evidence and follow up if it is missing. Deposit receipt guidance (French).

Tracking has not progressed

Compare the carrier status with the marketplace order. Note the last event and contact the support route shown for the shipment. Keep the case reference and next follow-up date; do not substitute an assumed investigation duration.

Damage or missing contents reported

Record the report against the order, keep the available item and packing evidence, and follow the platform’s current reporting instructions. Avoid promising a refund or assigning responsibility before the facts are reviewed.

A useful exception log

Keep the order ID, parcel ID, handover date and place, evidence reference, last tracking event, issue, support case, responsible person and next action together. These are suggested record fields, not a guarantee that a claim will be accepted.

04 · LOCAL HANDOVER

Confirm the route before arranging regular deposits.

ColisVinted assesses local handover requests by dispatch postcode, carrier, parcel dimensions, daily volume and ready time. The receiving point and evidence process must be confirmed before we accept the work.

  • Identify a compatible receiving point and agree the handover window.
  • Agree who checks labels, counts parcels and retains receipts.
  • Define how rejected parcels and missing scans are reported.
  • Confirm fees, responsibility and any separately requested storage or returns work.

We do not guarantee immediate marketplace tracking updates, a particular claim outcome or universal carrier coverage. Review the European handover service.

05 · QUESTIONS

Before the next shipment

Do I need a printed label?

Use the instructions for the selected shipment. Where a QR code is provided, check that the receiving point supports it before travelling. The carrier’s Vinted guide explains this distinction.

Does a receipt guarantee that Vinted has updated?

No. Preserve the receipt and verify the order separately. If the two records disagree, report the discrepancy with the correct parcel reference.

How much compensation will I receive?

Check the terms applicable to the actual shipment, item and claim. This guide does not set a compensation amount or recommend insurance based on a universal item-value threshold.
